FAQs

General Questions

What is credit card reconciliation, exactly?

It’s matching statements with internal records. We compare the card statements with the books. We want everything to match up. If the books show you spent $240 for office supplies, the card statement should reflect that same purchase. A discrepancy, such as a missing receipt, an unknown charge, or a payment not posted, gives us the opportunity to reconcile it. It keeps the books accurate, saves stress during tax season, and keeps you from financial pitfalls down the road.

How often should reconciliation be done?

At least monthly, though if you have a high-traffic business, weekly might be a better option. Being up to date keeps your records accurate and prevents last-minute shocks. If you happen to fall behind, we can get you caught up. And once we've got you in a good habit, you won't have to worry about it again. And with a regular routine, you're better able to find problems early on, rather than months later.

What do you need from me to get started?

We’ll ask for access to your credit card statements, either through your bank or with downloadable PDFs, and your existing bookkeeping records or software. If you're using a spreadsheet, that works too. We take it from there, comparing each transaction, flagging anything that’s unclear, and making sure everything adds up the way it should. We’ll also check in with you on any unusual activity to make sure nothing gets missed.

What kind of issues can reconciliation help me catch?

Plenty. Duplicate charges, subscription services you forgot about, unauthorized spending, payments that didn’t go through, these are all common. We’ve also seen clients overpay vendors or miss charges they could’ve written off at tax time. Reconciliation isn’t just about accuracy. It can save money and prevent bigger problems later. If you’re trying to cut expenses or tighten up spending habits, reconciliation gives you clear insight into where your money is going.

Can this service be part of ongoing bookkeeping?

Yes. Many of our clients roll credit card reconciliation into their monthly bookkeeping plan. We match transactions, update your records, and make sure everything stays in sync. That means fewer questions at tax time and a clearer picture of your business finances all year long. If you’re just looking for a one-time cleanup, we can do that too. We’re flexible and happy to build a plan that works for the way you run your business.
